The Contracts Administrator reports directly to the Director of Legal & Compliance. The Contract Administrator is responsible for ancillary review, entry, and administration of customer contracts. The individual will also be responsible for regular administrative functions within the Contracts group. This position will interact with other functional areas (Programs, Configurations, Pricing) to ensure timely and accurate contract entry.   

Essential Duties and Responsibilities

• Review standard Purchase Order requirements and compare quotes supplied to customers by ABT.

• Review Purchase Orders for any potential compliance issues, and route concerns or questions to the Director of Legal & Compliance for guidance.

• Review and process Purchase Order amendments or modifications, ensuring all changes are properly incorporated into internal systems.

• Load and verify all purchase orders (POs) in the Ruby system, ensuring accuracy and completeness for PO review and acceptance.

• Create the initial FilePro job structure for each new PO to establish the correct project setup and workflow.

• Maintain and update the ABT contract storage system to ensure all contract-related documents are current, organized, and accessible.

• Review customer POs for required government flowdowns (FAR/DFARS) and ensure ABT flowdown requirements are maintained and communicated to applicable suppliers.

• Coordinate with internal teams when PO data is incomplete, unclear, or contains inconsistencies, ensuring corrections are made prior to acceptance.

• Escalate compliance or contractual concerns in accordance with established procedures.

• Perform other duties as assigned by the Manager.

Requirements

  • HS diploma /GED, Required. Associates or bachelor’s degree preferred
  • Experience reviewing purchase orders or contracts, preferred
  • Knowledge of Federal Acquisition Regulations (FAR) and Defense Federal Acquisition Regulations Supplement (DFARS), preferred
  • Strong organizational and administrative skills
  • Strong attention to detail
  • Excellent attention to detail and data
  • Ability to multi-task and work in a fast-paced working environment
  • Excellent computer skills, including MS Office
  • Ability to work additional hours/flexible schedule when required
